The moment a contract is signed, the "machine" wakes up. We eliminate the 48-hour gap between "Signature" and "Kickoff."

The Workflow:

  • Trigger: PandaDoc/DocuSign envelope status changes to "Completed."
  • Infrastructure Build: The system creates a dedicated Slack channel, a specific Google Drive folder hierarchy (Strategy, Creative, Reports), and a Notion Client Portal.
  • Project Setup: It creates the project in ClickUp/Asana and applies the correct template based on the package sold (e.g., SEO vs. PPC).
  • Finance Sync: It creates the customer in QuickBooks/Xero and schedules the recurring invoice.

Live Consolidated Reporting

The Logic:

  • Input: Clients submit requests via a dedicated form (not email).
  • Assessment: The system checks the request against the client's remaining hours/points for the month in Airtable.
  • Decision: If within scope -> Auto-add to ClickUp. If out of scope -> Auto-draft an "Upsell Estimate" for the AM to send.
